What AI implementation means at AI Experts KC

AI implementation is the work of turning a chosen AI opportunity into a running tool inside your business. For a Kansas City company that means connecting an AI model to the systems you already use, teaching it your documents and rules, testing it on real work, and training your team. We deliver it as a fixed-price sprint of four to eight weeks with an acceptance test written at kickoff.

The sprint model exists because AI projects fail in predictable ways: scope grows, the integration turns out to be harder than the demo suggested, and nobody is trained at the end. A fixed scope, a fixed price, and a pass/fail test remove all three.

What a typical implementation sprint builds

Most sprints build one of four things. An intake pipeline that reads inbound emails, forms, or voicemails, extracts the details, and creates the record in your CRM or practice software. A document assistant that drafts proposals, reports, or letters from your templates and your data. A reporting tool that pulls from your ERP or accounting system and writes the weekly summary leadership reads. Or a connected AI assistant inside Microsoft 365 or Google Workspace that answers staff questions from your own files.

Larger builds, such as a customer-facing agent tied to scheduling and payments, are scoped as two sprints. See custom AI agents and chatbots for that work.

How an implementation sprint runs

WeekWhat happens
1Kickoff. Scope confirmed, acceptance test written, system access arranged, sample data pulled.
2 to 3Build. Integration connected, AI configured on your documents and rules, first version demonstrated.
4 to 5Test. Run against real cases with your staff, fix what fails, tune accuracy.
6Train and launch. Hands-on session for users, documentation handed over, go live.
7 to 10Support. 30 days of monitoring and fixes included.

Shorter sprints finish in four weeks; sprints with two or more system integrations run eight.

How we handle your data during implementation

Your data stays in accounts you own. We use business-tier AI services with model training disabled and, where the industry requires it, a signed Business Associate Agreement or equivalent. Access is granted to us for the sprint and revoked at handover. Every sprint ships with a one-page AI-use policy so staff know what may and may not go into the tool.

What implementation costs in Kansas City

Sprints start at $12,000 as a fixed fee. The number rises with each additional system the AI must read from or write to, with messy source data that needs cleanup first, and with the number of users to train. Payment is split 50% at kickoff and 50% at acceptance. The pricing page has every package, and clients who started with an AI Roadmap have the roadmap fee credited against the first sprint.

AI Implementation & Integration questions

Which systems can you integrate AI with?

Most modern business software: HubSpot, Salesforce, Microsoft Dynamics, NetSuite, QuickBooks, Microsoft 365 (Outlook, SharePoint, Teams), Google Workspace, ServiceTitan, Clio, Procore, and many industry tools. If a system has an API or a reliable export, we can usually connect it. We confirm the specific integration before quoting.

Do we have to replace our current software?

No. The point of implementation is to add AI to what you already run. Replacing a system is a separate decision, and we will tell you if your current one is the real bottleneck.

Who owns what you build?

You do. Everything runs in accounts you own, the code and configuration are documented, and you can hand them to anyone later.

What happens after the 30 days of support?

Most clients either run it themselves with the documentation or move to a support retainer from $1,500 per month for monitoring, fixes, and improvements.
